Position: Administrative/Accounts Receivables Assistant

Job Description

At Jarco Supply, the Administrative/AR Assistant position is an important role facilitating many of the administrative office tasks, such as answering phones (greeting guests when it is safe to do so) and other tasks listed below. It includes performing some Accounts Receivable tasks including daily billing, mailing/emailing/faxing customer AR statements, and other tasks listed below. This is a full time position with hours 8 am to 5 pm Monday-Friday. Overtime at month end may be necessary. Our office adheres to strong Covid19 protection protocols; this position is located in its own private office until such time as it is safe to return to the reception desk. Responsibilities to include:

  • Greet and assist guests (this responsibility will resume at some point in the future)
  • Answer phones and route callers to appropriate branch/person
  • Perform the Daily AR Billing and send out monthly statements to customers
  • Research/Respond to customer inquiries, preparing Excel spreadsheets and correspondence as needed
  • Invoice direct shipments (including AP and freight invoice tracking/matching)
  • Complete Excel sales tax report monthly
  • Receive Credit Applications and initiate credit references for new customers
  • Assist with preparing lien waivers
  • Notify Lien Agents in LienNC website
  • Maintain customer files including ship to addresses
  • Monthly credit card receipt reporting
  • Sending/receiving faxes
  • Maintain birthday/holiday/anniversary calendars/company phone lists
  • Maintain postage meter
  • Process branch paperwork transfers
  • Order office/janitorial supplies
  • Other tasks as required

Requirements/Skills Needed

  • Must be extremely dependable
  • Strong Excel skills – ability to use functions and enter formulas
  • Proficiency in Microsoft Word
  • Minimum 2 years’ experience with an integrated sales/invoicing platform
  • Positive/upbeat attitude and customer service orientation
  • Strong organizational skills and Attention to detail
  • Honesty, Integrity, and Trustworthiness
  • Must pass criminal background check and pre-employment drug test
